General Information
- (*) signifies a required field. You cannot submit forms without completing fields with the asterisk next to them.
- Artist: Artist the offer is for.
- Agent: Agent for this offer.
- Private/Open to Public: If this show
is open to the public or private. A PRIVATE show will not be advertised
and will not be open to average concert goers. Shows that anyone
can attend are OPEN TO PUBLIC. This includes outreaches, benefits,
ticketed shows, etc.
- Show Date: Date of the show.
- Doors Open: Time people may enter
the venue.
- Show Start Time: Time the show starts.
Buyer Information
(The person or organization that is buying the show.
More than likely this is you.)
- Company or Organization: Buyer's
company or organization.
- Signatory: The person who will be
signing the contract.
- First Name: Buyer's first name.
- Last Name: Buyer's last name.
- Address: Buyer's street address.
This is where the contracts (if approved) will be mailed. Please
note, we cannot mail contracts to a P.O. Box. This MUST be a physical

- Capacity: The seating capacity for
the show. Please indicate how many people the venue will seat.
If you are selling a certain number of seats at one price and
others at different prices, please indicate so under "Ticket
Price Scaling".
- Seating: The type of seating for
the show (General Admission or Reserved).
- Sales Tax: The tax rate for your
market.
Ticket Price Scaling:
- Number, Price, Type: Indicate what
price your tickets will be sold for, the number of tickets that
will be sold, and the type of the tickets. If you are not selling
tickets, please leave them blank. (ie. 1,000 seats @ $12/ 1,000
seats @ $10 OR $12 Advance, $15 Day of show, $10 Groups of 10
or more).
Terms:
- Negotiated Price: The price you have
negotiated with your agent.
- Billing: An entertainment phrase
that indicates the "ranking" or "position" of artists on the show.
This is NOT who is being billed for the show. Common language
here could be: 100% Headline Billing and close show, Festival
Billing - Multiple Act Show, 75% Special Guest Billing, etc.
- Sound & Lights: Who is providing
and paying for sound & lights (ie. Purchaser to provide and pay
for, Artist to use tour provided sound & lights, etc.).
- Budget for S&L: The budget for the
sound and lights.
- Support Talent: If you are having
anyone perform prior to the featured artist, indicate so here.
Please note, support talent will be subject to artist's approval.
- Other Provisions: Other provisions
for the show. Any special details or out of the ordinary requests
you may have.
- Merchandise Deal: Sometimes venues
will require a percentage of the merchandise sales. This can be
negotiated and is rarely over 20%.
- Vendor: The vendor for the show.
Who will be selling the merchandise. Sometimes the venue will
provide staff to sell merchandise. Other times, the promoter will
provide staff or volunteers. If an artist is on tour, they will
often provide their own people to sell merchandise.
- Lodging provided by: If the lodging
is provided by the artist or buyer.
- Travel provided by: If the travel
is provided by the artist or buyer.
Expenses:
- (This section is only
applicable if there is a percentage of ticket sales required in addition to a guarantee for the artist.
This is very common for ticketed shows. For example, your agent may require $10,000
+ 80% OF GROSS BOX OFFICE RECEIPTS AFTER ALL APPROVED EXPENSES AND TAXES.
Under this circumstance, you will need to provide an estimated list of
expenses in the bottom section of the offer sheet. Please note, these are estimated expenses.
On the night of the show, you will be required to show receipts for all of
your actual expenses.)
- Rent: How much you are paying for
the venue.
- Ticket Commission: If you are using
various ticket outlets to sell your tickets they may charge a
percentage of the ticket price which usually is transferred to
the ticket buyer.
- Insurance: Public liability insurance
is always required to protect property and persons. Often, the
artist will want to be named on a separate policy for themselves
and band property.
- Box Office: Charge for staffing the
box office at the venue.
- Credit Card: Charge for using credit
card services.
- Advertising: Cost for all of your
advertising (posters, flyers, newspaper ads, Christian Happenings,
radio ads, etc.).
- ASCAP/BMI: Venue may pay a fee to
either of these performance rights organizations for the playing
of artist's material whom they collect live performance fees for.
- Barricade: Artist may require a barricade
around the front of stage to keep audience a certain distance
from the stage.
- Catering: Cost for all food that
is required in the artist's rider.
- Chair Rental: Cost for renting chairs
if applicable.
- Clean-Up: Cost of clean up staff
in applicable.
- Damage Dep.: Venue may require a
damage deposit.
- Dress. Rm Fur: Cost if artist requires
specific furniture in their dressing room.
- Electrician: May be needed to assure
proper power supply and hookup of sound and light equipment.
- Equip. Rntl: Cost of miscellaneous
equipment that may be needed for the show. This is NOT the cost
of renting sound and lights.
- Firemen: If required by venue or
law.
- Forklift: A forklift may be required
for load in of sound and light equipment. This is usually the
case if the venue doesn't have easy access to the stage area (ie.
Load in ramps, etc.).
- License/Permit: Depending on where
your show is, you may need a license or permit from the court
house, police, etc.
- Loaders: Most often you can get volunteers
to help load in and load out sound and light equipment. If you
use volunteers, MAKE SURE THEY ARE RELIABLE. If you don't have
reliable volunteers, you will need to hire help.
- Medical: Depending on the size of
your event, you may want medical personnel available should an
emergency occur.
- Other tax: Occasionally a state may
require an extra tax on entertainment or similar revenue.
- Phone: The artist's road manager
and crew will require a phone line and fax line for their use
only. You may need to have additional lines put in for this purpose.
- Piano: Cost for renting piano if
applicable.
- Tuner: Cost of professional piano
tuner if applicable.
- Police: Cost of hiring on site police
if applicable.
- Private Security: Cost of hiring
security personnel.
- Backstage Sec.: Artist may require
backstage security solely for their personal property and backstage
admittance.
- Power: Depending on the venue, you
may need to rent a power generator to meet the required power
output.
- Remotes: Live radio crews, recording
crews (never approved by management).
- Rigging: Depending on the design
of the sound and light system required by the artist, you may
need to rent rigging equipment to "fly" or hang speakers or lights
from the ceiling.
- Runner: Artists will require an individual
or two who will be available should any need arise (food, guitar
strings, etc.).
- Set-Up: Cost of setting up venue
for the show if applicable.
- Sound & Lights: Cost of renting the
required sound and lights specified in artist's rider if applicable.
- Spotlights: Cost of renting required
spotlights.
- Stage: Cost of renting stage or additional
staging to meet the required dimensions specified in artist's
rider.
- Stage Hands: Staff who will be available
for any stage needs during the concert.
- Stage Manager: Manages stage hands.
Coordinates all operations backstage.
- Support Talent: This is the opening
band or artist if applicable. The agent may or may not allow the
cost of the support band to come out of the headline artist's
percentage.
- Ticket Printing: Cost of having all
your tickets printed.
- Ticket Sellers: Staff to sell tickets
at the door.
- Ticket Takers: Staff to take tickets
at the door.
- Towels: Cost of providing all the
white towels that are required.
- Transportation: This may include
airfare, ground transportation, or rental van for the RUNNER required
by artist.
- Ushers: Staff to help patrons find
their seat.
- Misc.: Miscellaneous items.
Other Expenses:
- Expense: The name or title of an
additional expense such as hotels, backline gear, etc.
- Amount: The cost for that expense.
